Privacy Policy

The Soma Arts LLC (“Soma Arts,” “we,” “us”) respects your privacy. This policy explains what information we collect through our website, our guest sign-up forms and the Soma Arts Portal (our family, student and teacher app), how we use it, and the choices you have.

A parent or legal guardian may give us information about themselves and a child they register, such as names and contact details, address, emergency contacts, the child’s age and birthday, school grade, assessed dance levels for each style, class or schedule conflicts, costume measurements and sizes, signed waivers and policy agreements (including the Family Handbook), and health, allergy, or support notes the parent wants us to know. Please share only details that help us place a dancer in an appropriate class, communicate with you, handle billing and costumes, or keep the dancer safe.

We use this information to register dancers for classes suitable for their age and level, manage class schedules, waitlists, makeups, private lessons, costumes and performances, contact families about classes, process or manage billing, and help teachers respond to safety needs. We do not use a child’s birthday for unrelated purposes.

You can request a free trial class, sign up for an audition, a master class or event, or place a shop order without a Portal account. For a guest sign-up we collect the parent or guardian’s name, email and phone number, the dancer’s name and birth date (for trials, auditions, classes and events), any answers to audition questions, the items you order, and your agreement to the Family Handbook. The studio uses this information only to follow up on that sign-up or order, and may add it to your family record if you later register.

When Studio Sitters reservations open, we will collect the child’s name and age, the parent or guardian’s name and contact details, the reservation date and time, a signed waiver, and any care notes the parent chooses to share. Children using Studio Sitters do not need to be enrolled dancers. A parent or guardian stays on-site for the whole session, and we use this information only to run the session safely.

When you use the Portal we keep records of your account, enrollments, attendance, private lesson bookings and requests, cart items, charges, payment plans and invoices, orders, tickets, reservations, audition forms, posts, comments and messages. Messages and comments are kept so the studio can review them for safety; staff may hide content, but we do not delete it on request where we need it for safety, billing or legal reasons.

• Continue with Google. If you choose to sign in with Google, Google shares basic profile information, such as your name and email address, so we can sign you in. We never receive your Google password.
• Face ID, Touch ID and similar quick unlock. Quick unlock is optional. Your fingerprint or face data stays on your device and is never sent to Soma Arts or our service providers; your device only confirms to the Portal that the unlock succeeded. Quick unlock does not replace your regular sign-in.
• Add-to-calendar files. Class calendar files are created in your browser. Once you add them to a calendar app, that app’s own privacy terms apply.
• Connected apps. If you choose to connect another app (such as an AI assistant) to your Portal account, you will see a consent screen before it is given access, and that app’s own privacy terms apply. Only connect apps you trust, and contact us if you would like help removing access.

Soma Arts administration can access the full family record. Staff accounts can be limited to only the sections their job needs. A teacher assigned to a dancer’s class or private lesson may see the dancer’s name, attendance and the notes, measurements or sizes needed for that class. Other families never see your contact details. We do not sell personal information.

We use service providers to run the website and Portal, and they handle information only as needed to provide their services and under their own privacy terms:

• Base44 hosts the website and Portal, stores Portal records, and sends studio emails.
• Stripe will process card and bank payments once online payments are live. Soma Arts does not store full card or bank account numbers. Until then, the studio arranges payment with you directly.
• Google provides “Continue with Google” sign-in, and Google services (such as Google Drive) may hold studio documents and forms.
• Website measurement and, in the future, advertising tools (such as Google or Meta) may receive limited information about visits to our public pages. We do not use these tools inside the Portal or to target children.

We will update this list if our providers change.

We keep family, dancer and billing records while your family is active with Soma Arts and for as long as needed for billing, safety, tax and legal reasons afterward. Guest sign-up and Studio Sitters records are kept only as long as needed for the same reasons. You may request deletion at any time, and we will delete what we are not required to keep. We limit staff access to people who need the information for their assigned work.

The website and Portal use cookies, browser storage or similar technologies to keep you signed in, remember device settings such as quick unlock, protect your account, and understand site visits. Measurement or advertising tools on our public pages may also use cookies. You can control cookies through your browser settings and any choices offered by a cookie notice on the site.

Our website is for parents, guardians, and other adults, as well as teens age 13 and older. Dancers under 13 do not get their own Portal login; a parent or legal guardian submits and manages all of their information. A dancer age 13 to 17 may have a student login only after a parent or guardian gives consent in the Portal. Student accounts collect only the student’s name and login, cannot send private one-to-one messages to staff (a parent or the studio is always included), and any shop cart or private lesson request a student makes goes to a parent for approval.

By registering a dancer and signing the registration forms, a parent or guardian consents to Soma Arts using photos and videos of that dancer as described in the photo and media policy in the Family Handbook. To withdraw that consent, send a written request to hello@thesomaarts.com; it applies going forward. Parents and guardians may also contact us to review, correct, or request deletion of a child’s information, or to withdraw consent for a student account. We may need to verify your identity and authority before responding.

You may ask us to access, correct, or delete personal information, or ask a question about this policy. Email hello@thesomaarts.com. We may keep information needed for billing, safety, or legal obligations.

We may update this policy as our classes and website tools develop. We will post the updated version here and change the “Last updated” date.
